TRANSPARENT METHODOLOGY

How each total is calculated

  1. Registration = students × student rate + paid leaders × leader rate.
  2. Meals = every participant × additional meal cost per participant.
  3. Base cost = registration + meals + transportation + overnight travel + extras + other fixed costs.
  4. Gross trip cost = base cost + contingency.
  5. Net family cost = gross cost − scholarships, fundraising, and church subsidy, never below zero.
  6. Per-person costs = net family cost divided by students or all participants.

Planning methodology last reviewed August 20, 2026. This planner estimates costs from your entries and does not verify or endorse any camp.

BEYOND THE SPREADSHEET

Use cost as one part of the decision.

A responsible recommendation also accounts for the experience your students, leaders, and families can support well.

01

Ministry fit

Does the camp purpose align with what your church wants students to experience?

02

Teaching and worship

Review the theological approach, communicators, worship format, and published program.

03

Group conversation

Confirm protected time with leaders who already know your students.

04

Leader support

Understand what the program handles and what your adult team must prepare.

05

Lodging and supervision

Check room arrangements, adult coverage, policies, and nighttime responsibilities.

06

Transportation complexity

Map vehicles, drivers, fuel, overnight stops, and arrival windows.

07

Parent communication

Give families a complete price, payment schedule, packing guidance, and expectations.

08

Accessibility and dietary needs

Confirm support directly with each program before anyone commits.

09

Total trip cost

Compare the complete net amount, not registration without travel or extras.

10

Post-camp follow-up

Plan how leaders will continue conversations after the trip.
